Order event apparel to confirmed signups rather than to expected attendance, and handle walk-ups with a small second order - over-buying for an event is the most reliable way to lose money on one. Ready to start? custom merch.
Why order to signups rather than attendance?
Because expected attendance is a forecast and signups are a fact. Events routinely under-deliver on projected numbers, and the leftover apparel is a cost nobody budgets for. Ordering to confirmed numbers means the worst case is a small second order rather than boxes of unsold shirts.
How do you handle walk-ups?
Take orders on the day and ship after. This is now normal behaviour and attendees generally prefer receiving the right size later to taking the wrong size now. With five to nine day production and no minimum, a post-event order of eleven pieces is entirely routine.
What lead time actually works?
Two weeks minimum for the main order, with signups closed at least three weeks out. The production window is predictable; what is not predictable is how long it takes to finalise a design that several people have opinions about, which is where most event orders lose their buffer.
Event ordering that works
- Order to confirmed signups, never to projected attendance
- Close signups at least three weeks out
- Place the main order two weeks out
- Take walk-up orders on the day and ship after - no minimum applies
How long does it take to arrive?
Every order is made to order and ships in five to nine business days, and that window covers a single piece and a two-hundred-piece run alike - there is no separate multi-week queue for larger orders. Our fastest verified US delivery was three days on real carrier tracking, and our fastest verified international delivery was Latvia to New York in five days. For an event, order about two weeks ahead so there is room to check the first piece and distribute sizes.
Is there really no minimum order?
None. One piece is a real order at normal pricing with no small-order surcharge. Traditional printers set minimums because screen printing and machine embroidery both carry a fixed per-job setup cost that has to be spread across enough pieces to be worth doing. Print-on-demand production has no per-job setup, so the reason for the minimum simply does not exist - which is why ordering one to check it before committing the budget is the standard advice here.
Where to go next
Bulk tiers apply at twenty or more of the same item, so a mid-size event usually lands in a discount band without trying. See the timing guide.
